• Contact details you share through our website chat, inline booking form, or voice booking call — such as your name, email address, and phone number.
• Inquiry content — the messages, questions, or details you send while chatting with our assistant or speaking with us on a call.
• Scheduling information — the appointments you book, along with any context you provide about them.
• Basic technical data your browser sends when you visit our site, such as IP address, browser type, and pages viewed. We do not use invasive tracking or cross-site advertising cookies.

3. How we use your information

• Respond to your inquiries and schedule consultations.
• Send you transactional SMS and email messages related to your booking — such as scheduling outreach, confirmations, reminders, and follow-ups.
• Deliver automation services you engage us for.
• Improve our website, chat assistant, and automation offerings.
• Comply with legal and accounting obligations.

4. SMS and text messaging

When you provide your phone number through our chat widget, voice booking call, or in reply to our business number, you consent to receive transactional and conversational SMS from Broadhead Automations about your inquiry. Message frequency varies. Message and data rates may apply through your carrier. You can opt out at any time by replying STOP, or get help by replying HELP.

Text messaging originator opt-in data and consent will not be shared with any third parties or affiliates for marketing purposes, and will not be transferred between separate businesses or services operated by Broadhead Automations or its principals. Phone numbers and SMS opt-in are program-specific.

5. How we share information

We do not sell your personal information. We share information only with the third-party service providers we rely on to run our business, and only to the extent needed for them to perform their role:

• Twilio — SMS and voice telephony.
• Vapi — AI voice assistant for inbound booking calls.
• n8n — workflow automation platform orchestrating our chat and booking flows.
• Google Workspace — email and calendar for scheduling.
• Anthropic — the large language model powering our chat assistant.

Each of these providers handles data under their own privacy and security terms. We may also share information when required by law, to enforce our rights, or to protect the safety of users or the public.

6. Data retention

We keep personal information only as long as needed to provide our services, maintain business records, and comply with legal obligations. You can request deletion at any time by emailing us.

7. Your rights

You may request to:

• Access the personal information we hold about you.
• Correct information that is inaccurate or out of date.
• Delete your personal information, subject to any legal obligations we have to retain it.
• Opt out of SMS by replying STOP; opt out of email by replying to any message or contacting us.
